ISA Korea Event Participation Terms
Article 1 (Purpose)
These Terms establish the rights and obligations, participation fees, refunds, safety, personal information, and other necessary matters applicable to a person participating in an event or international exchange program hosted, organized, or operated by 국제교류학생연합회 (registered official English name: ISA Korea; brand and abbreviated name: 국제교류학생연합회 ISA Korea; hereinafter, the “Organization”).
Article 2 (Scope, Order of Precedence, and Acceptance)
1) These Terms apply to every person who applies to participate in an event, meeting, exchange activity, or international exchange program operated by the Organization.
2) Documents apply in the following order: applicable laws and regulations; the Articles of Association; the ISA Korea Membership Dues and Refund Policy; these Terms; and individual notices.
3) An individual notice may establish an event-specific schedule, required items, safety rules, and detailed operating procedures. It may not conflict with a higher-ranking document or independently impose participation-fee or refund standards that are less favorable to a participant.
4) Before an application is submitted or a participation fee is paid, the Organization shall provide the participant with the document ID, version, effective date, and an accessible link to these Terms.
5) During the application or payment process, the participant shall be given a means to expressly indicate that they have reviewed and accepted these Terms. Submission of an application, payment of a participation fee, or participation in an event alone does not constitute consent to the collection or use of personal information or to the use of photographs, video, or audio.
6) The Korean and English versions shall use the same document ID, version, and effective date and shall be maintained together with identical content.
Article 3 (Operation and Rules of Conduct)
1) Participants shall cooperate with reasonable instructions from staff and organizers concerning program operation, safety, and orderly conduct.
2) Participants shall not engage in defamation, discrimination, harassment, sexual harassment, violence, unlawful conduct, or any other conduct that harms the safety or reputation of the community.
3) Participants shall not obstruct an event or cause discomfort or danger to another participant.
4) The Organization’s name, logo, titles, or event name may not be used for a commercial or political purpose or for personal promotion without the Organization’s prior approval.
5) If a participant violates this Article, the Organization may issue a warning, restrict participation, remove the participant from the event, or restrict the participant from future events, taking into account the seriousness of the matter and procedural fairness.
Article 4 (General Event Participation Fees and Refunds)
1) A participant must pay the announced participation fee to join a general event hosted or organized by the Organization.
2) Treating the event start date as D-Day, refunds of general event participation fees are determined as follows:

3) Venue, meal, transportation, accommodation, purchased-item, deposit, and other costs that have already been incurred or have become non-cancellable commitments during event preparation may be excluded from the refundable amount.
4) The calculation of a refund, the deducted items, and the basis of calculation when both the refund percentage in paragraph 2 and the cost deductions in paragraph 3 apply are governed by the ISA Korea Membership Dues and Refund Policy.
5) If an event is changed or cancelled due to a natural disaster, the spread of an infectious disease, a facility issue, a safety concern, or another unavoidable circumstance, the Organization shall inform participants of the change, any replacement schedule, and the scope of the refund in accordance with the ISA Korea Membership Dues and Refund Policy and applicable law.
Article 5 (International Exchange Program Participation Fees and Refunds)
1) A participant must pay the announced program participation fee to join an international exchange program hosted or organized by the Organization, including but not limited to ASC, JKSC, ISC, and IOC.
2) Treating the program start date as D-Day, refunds of international exchange program participation fees are determined as follows:

3) Airfare, accommodation, transportation, venue reservation, meal, activity, group-purchase, and other costs that have already been incurred or have become non-cancellable commitments during program preparation may be excluded from the refundable amount.
4) The calculation of a refund, the deducted items, and the basis of calculation when both the refund percentage in paragraph 2 and the cost deductions in paragraph 3 apply are governed by the ISA Korea Membership Dues and Refund Policy.
5) If a participant cancels for personal reasons or withdraws after the program has begun, costs already incurred and shared group expenses may be non-refundable.
6) If individual or group reservations for airfare, accommodation, or other services have been completed after participation is confirmed, those costs may be excluded from the refundable amount.
7) For an overseas program, the amount actually refundable may vary due to exchange-rate fluctuations, local circumstances, or the policies of a partner institution or transportation or accommodation provider. The Organization shall inform the participant of the objectively verified refundable amount and its calculation.
Article 6 (Personal Information and Photographs, Video, and Audio)
1) The Organization shall collect and use personal information necessary for event applications, participant verification, operation, notices, and safety management under a separate privacy notice and consent procedure.
2) The categories of information collected, purposes of use, retention period, deletion method, third-party provision, cross-border transfer, and methods for inquiries and exercising rights shall be described in a privacy policy or consent form for the collection and use of personal information separately provided by the Organization. Any category that is not collected or transferred shall be clearly excluded from that notice.
3) If sensitive information concerning health conditions, illness, injury, allergies, medication, or similar matters is necessary for safety management, the Organization shall process only the minimum necessary information after obtaining separate, express consent.
4) The use of photographs, video, audio, and other recordings for promotional or record-keeping purposes shall be subject to optional consent that is separate from acceptance of these Terms.
5) The media-use consent form shall state the purposes, media, scope of use, retention or publication period, whether information is provided to a third party, the withdrawal method, and the effect of refusing consent. The Organization shall provide that consent form separately during the participation application process.
6) A participant may refuse or withdraw optional consent for media use. If the nature of an event makes it difficult to avoid all filming or recording, the Organization shall explain the reason and any reasonably available alternative means of participation before the participant applies.
7) If a minor participates, the Organization shall obtain consent from the minor’s legal representative in accordance with applicable law.
Article 7 (Safety and Responsibility)
1) The Organization shall exercise reasonable care when planning and operating events and programs.
2) Participants shall check their own health conditions and follow safety instructions. If health-related information is necessary for safety management, the separate consent procedure under Article 6(3) applies.
3) The Organization is responsible in accordance with applicable law for an accident, injury, loss, or damage arising during the operation of a third-party institution, means of transportation, accommodation, restaurant, event venue, or outside partner.
4) Responsibility for damage caused by a participant’s negligence, violation of rules, failure to follow reasonable instructions, personal conduct during free time, or individual judgment shall be determined based on the specific facts and applicable law.
5) This Article does not exclude or limit any responsibility of the Organization that cannot be excluded or limited under applicable law.
Article 8 (Participation Restrictions and Treatment of Participation Fees)
1) The Organization may restrict or discontinue a participant’s participation, after considering the relevant facts, degree of risk, and opportunity for the participant to respond, if the participant:
1.
violates these Terms or a lawful and reasonable event-specific instruction;
2.
presents a specific risk to the safety of another participant or an organizer;
3.
provides materially false information in the application; or
4.
commits a serious breach of order, including forced drinking, violence, sexual harassment, or unlawful conduct.
2) The eligibility for and amount of any refund following a participation restriction or discontinuation shall be calculated under the ISA Korea Membership Dues and Refund Policy.
3) A participation restriction does not automatically make the fee non-refundable. Costs already incurred, the participant’s degree of responsibility, and applicable law shall also be considered.
Article 9 (Cancellation Requests and Official Notices)
1) A cancellation request is deemed received when it reaches an official inquiry channel announced by the Organization.
2) The receipt time and refund tier are determined according to Korea Standard Time (KST, UTC+9).
3) If a material schedule, required item, safety rule, cost, or term changes, the Organization shall notify participants through an official channel that participants can access.
4) A refund shall be processed without undue delay after the grounds for and amount of the refund have been determined. If applicable law establishes a separate processing period, that period shall apply. Responsibility for bank-transfer, currency-conversion, or other fees shall follow applicable law and the standards clearly disclosed before the application or payment.
Article 10 (Amendment, Transitional Measures, and Effectiveness)
1) When these Terms are amended, the Organization shall announce the document ID, version, last-revised date, effective date, and a summary of material changes.
2) An amendment may not conflict with applicable laws and regulations, the Articles of Association, or the ISA Korea Membership Dues and Refund Policy.
3) An application submitted or a participation fee paid before September 1, 2026 shall be handled under the standards disclosed to and accepted by the participant at the time of application or payment and under applicable law.
4) Version v2026.09.01 of these Terms takes effect on September 1, 2026.
