ISA Korea Membership Dues and Refund Policy

Article 1 (Purpose)

This Policy establishes the payment and refund standards for enrollment fees, recurring membership dues, event participation fees, and international exchange program participation fees of 국제교류학생연합회 (registered official English name: ISA Korea; brand and abbreviated name: 국제교류학생연합회 ISA Korea; hereinafter, the “Organization”).

Article 2 (Scope and Order of Precedence)

1) This Policy applies to the Organization’s members, event participants, and international exchange program participants.
2) This Policy is subordinate to applicable laws and regulations and the Organization’s Articles of Association.
3) This Policy takes precedence over the Member Terms, the Event Participation Terms, and individual event or program notices.
4) The Member Terms, the Event Participation Terms, or an individual notice may establish detailed procedures delegated by this Policy, but may not conflict with this Policy or independently impose refund standards that are less favorable to a participant.
5) If documents conflict, they shall apply in the following order: applicable laws and regulations; the Articles of Association; this Policy; the Member Terms or Event Participation Terms; and individual notices.

Article 3 (Enrollment Fee)

1) A member acquires membership by completing the enrollment procedure established by the Organization and paying the enrollment fee.
2) Once the member has reviewed the enrollment procedure and this Policy and has paid the enrollment fee, the enrollment fee is non-refundable. This does not limit any different requirement under applicable law or a separate decision made by the Organization where enrollment is not completed due to a cause attributable to the Organization.

Article 4 (Recurring Membership Dues)

1) Members must pay recurring membership dues in accordance with the Articles of Association and the Member Terms.
2) The payment date of the relevant recurring membership dues is the reference date for calculating a refund.
3) Refunds of recurring membership dues are determined as follows:
Time the cancellation request is received
Refund
Within 14 days from the payment date
50% of the recurring membership dues actually paid
From the 15th day after payment and before one month has elapsed from the payment date
25% of the recurring membership dues actually paid
Once one month or more has elapsed from the payment date
No refund
4) The phrases “before one month has elapsed from the payment date” and “once one month or more has elapsed from the payment date” are determined using the payment date as the reference date.
5) A member who fails to pay recurring membership dues without a justifiable reason may be subject to activity restrictions or membership-related measures under the Articles of Association and the Member Terms.
6) If a member participates in an activity supported by a government body, institution, organization, outside sponsor, or other third party, the refund shall be calculated based only on the recurring membership dues actually paid by the member, excluding the amount of the subsidy or support.

Article 5 (General Event Participation Fees)

1) A member or participant joining a general event hosted or organized by the Organization must pay the announced event participation fee.
2) Treating the event start date as D-Day, refunds of general event participation fees are determined as follows:

50% refund
D-3 through or after the event start, or failure to attend without notice
No refund
3) Venue, accommodation, meal, transportation, purchased-item, deposit, and other costs that have already been incurred or have become non-cancellable commitments during event preparation may be excluded from the refundable amount.
4) If the refund percentage in paragraph 2 and the cost deductions in paragraph 3 both apply, the Organization shall calculate the refund under applicable law and the calculation standard clearly disclosed before the application or payment, and shall provide the deducted items and the basis of calculation.
5) If an event is cancelled for reasons attributable to the Organization, the refund, any replacement schedule, and the treatment of costs already incurred shall follow applicable law and the standards clearly disclosed before the application or payment. The Organization shall inform participants of those matters without undue delay.

Article 6 (International Exchange Program Participation Fees)

1) A member or participant joining an international exchange program hosted or organized by the Organization, including but not limited to ASC, JKSC, ISC, and IOC, must pay the announced program participation fee.
2) Treating the program start date as D-Day, refunds of international exchange program participation fees are determined as follows:

D-30 through or after the program start, or failure to attend without notice

3) Airfare, accommodation, transportation, venue reservation, meal, activity, group-purchase, and other costs that have already been incurred or have become non-cancellable commitments during program preparation may be excluded from the refundable amount.
4) If the refund percentage in paragraph 2 and the cost deductions in paragraph 3 both apply, the Organization shall calculate the refund under applicable law and the calculation standard clearly disclosed before the application or payment, and shall provide the deducted items and the basis of calculation.
5) If a participant cancels for personal reasons or withdraws after the program has begun, costs already incurred and shared group expenses may be non-refundable.
6) If individual or group reservations for airfare, accommodation, or other services have been completed after participation is confirmed, those costs may be excluded from the refundable amount.
7) For an overseas program, the amount actually refundable may vary due to exchange-rate fluctuations, local circumstances, or the policies of a partner institution or transportation or accommodation provider. The Organization shall inform the participant of the objectively verified refundable amount and its calculation.

Article 7 (Branch Membership Dues)

1) Each branch shall remit 20% of the total membership dues it collects to headquarters, and that amount shall become part of the headquarters operating fund.
2) Within the scope allowed by the Articles of Association, each branch may determine the amount, payment method, and payment deadline for its membership dues.
3) Even if a branch announces a separate refund procedure, it must follow the refund standards and order of precedence established by this Policy.

Article 8 (Cancellation Requests, Refund Calculation, and Payment)

1) A cancellation request is deemed received when it reaches an official cancellation channel designated by the Organization.
2) An official cancellation channel means an official inquiry channel announced by the Organization.
3) All receipt times and refund tiers are determined according to Korea Standard Time (KST, UTC+9).
4) For a general event or international exchange program, the cancellation time is the time the request reaches the official cancellation channel, not the time the participant writes or sends the request.
5) A refund is calculated based on the amount actually paid by the participant or member. Subsidies, discounts, or amounts paid by a third party are not included in the amount actually paid.
6) A refund shall be processed without undue delay after the grounds for and amount of the refund have been determined. If applicable law establishes a separate processing period, that period shall apply.
7) Responsibility for bank-transfer fees, currency-conversion fees, or other payment costs, and the standard for deducting those costs, shall follow applicable law and the standards clearly disclosed before the application or payment.
8) If the Organization deducts costs from a refund, it shall provide the deducted items and the basis of calculation upon the participant’s request.

Article 9 (Provision and Acceptance of This Policy)

1) Before collecting an enrollment fee, recurring membership dues, or a participation fee, the Organization shall provide the member or participant with the latest version, effective date, and an accessible link to this Policy.
2) During the payment or application process, the member or participant shall be given a means to expressly indicate that they have reviewed and accepted this Policy.
3) Continued participation alone does not constitute consent to the collection or use of personal information or to the use of photographs, video, or audio. Those matters are governed by separate consent procedures.

Article 10 (Amendment, Transitional Measures, and Effectiveness)

1) When this Policy is amended, the Organization shall announce the document ID, version, last-revised date, effective date, and a summary of material changes.
2) An amended Policy applies from its announced effective date.
3) An application submitted or a participation fee paid before September 1, 2026 shall be handled under the standards disclosed to and accepted by the participant at the time of application or payment and under applicable law.
4) Version v2026.09.01 of this Policy takes effect on September 1, 2026.
